I am committed to protecting your personal data when you visit my website.This Privacy Notice explains how I use any of your personal data at Manorbier Accommodation to comply with the new regulations introduced in 2018 Data Protection Directive.

This is commanly known as The General Data Protection Regulation (EU) 2016/679 or GDPR.

Website

What information do I collect?

I may collect, store and use the following kinds of personal data:

a) Information about your computer and about your visits to and use of this website (including your IP address, geographical location, browser type, referral source, length of visit and number of page views) via Google analytics.

b) Information that you provide to us for the purpose of registering with us.

c) Information that you provide to us for the purpose of subscribing to our website services, email notifications and/or newsletters. Subscription will last for 12 months. Just before this period comes to an end, we will contact you to redifine consent

Enquiries for availability

If we have no availability for the dates requested then I will respond by email or telephone and then the telephone number and /or email will not be added to any list or records kept within any files/database.

When you make a booking with me I collect the names of all the guests who will be staying, the Home address, email address and telephone number of the person making the booking.

Booking Forms

All printed booking forms will be kept for one year in a locked cabinet and then shredded in accordance to GDPR. For booking forms online completed through online channel manager Free To Book.  At the bottom of each form it states how Free To Book uses you information under there Privacy policy. You can also click on  the link to show Free To Book extended customer privacy policy relating to bookings made for ManorbierAccommodation. Free to Book Customer Privacy Information.

All emails from guests will be destroyed after one year both those that come directly from me or via the email system through Free To Book.

If the customer wishes to have their data removed from the Free To Book  booking system. I anonymise your personnel data in the customers booking form by replacing the name,address and contact details with XXXX, that will overwrite the customer personal data in Free To Book.

Payments

I use Stripe Payment system via Free To Book booking system to take payments for credit cards, debit cards for of both the deposit, the balance or if it is within my cancellation period. I do not store any credit card details ie name, card numbers, expiry date or CVC at Manorbier Accommodation.  All debit and credit cards are processed and encrypted online via Stripe payment system. These are encrypted online and the payment can only be taken up to the full balance and any damages that occur in line with my Terms and Conditions will be added under the extra charges to the balance of the invoice.

We use your home address as part of the card payment processing to validate the card.

For those customers paying by cheque or BACS I send out my bank details. For cheque payments  the payment receipt is kept for a year I then shred it.  The cheque details are entered into the online booking under the Stripe system so that the deposit and balance can be processed.

Bookings

I will use your email address to send you confirmation of the booking or a letter enclosing your confirmed booking if you do not use the internet and an email/letter with more details on how to find Manorbier Accommodation and other information you may find useful for your stay.

After your stay you will receive an automatic email from our booking system asking you to fill in a feedback form. We also send you an additional email checking everything was ok with your stay and offering you ways to stay in contact with Manorbier Accommodation by social media or email if you choose to subscribe to my email newsletter.  You  will only subscribe to our mailing list if you choose to opt in. Once you opt in, you can unsubscribe at anytime please see “your rights” section for my contact details. Again, you will be subscribed for 12 months and just before the end of  the 12 months, we will contact you to redifine consent.

I will only use your telephone number to contact you to establish a time of arrival or an emergency, and/or we have been unable to contact you by email.

Neither Stripe, Freetobook or myself will share your information with any third party for example the police, unless there is a legal reason.

Newsletters

I do not add any guest to the newsletter list unless they have agreed via email , letter or they have signed up via my website to be added to my subscriber’s list. You will only subscribe to our mailing list if you choose to opt in. Once you opt in, you can unsubscribe at anytimeplease see “your rights” section for my conact details. Again, you will be subscribed for 12 months and just before the end of the 12 months we will contact you to redifine consent.  The newsletter is managed by MailChimp and anyone can unsubscribe from a newsletter or list at any time.  The once a year newsletter I send normally contains information about the accommodation, any low season special offers or local events of interest.  The distribution list is managed by a secure third party, Mailchimp. Guest Registration

I am required by law to collect the following information on all of our guests and add it to the Free To Book booking form at the beginning of your stay as we do not use registration forms on arrival.

For Commonwealth, EU guests;  Name and national

For Non-commonwealth, and guests living outside the EU; Name, nationality, passport number.

ADVERTISING AND THIRD PARTY TRAVEL ORGANISATION

A)Great Little Places to Stay Guides.

B) Air BnB is channel managed by Free To Book for bookings for Manorbier Accommodation.  Neither Stripe, Freetobook or myself will share your information with any third party for example the police, unless there is a legal reason.

C) Walking Companies only send me the guests name as they store all the details of the guests address, email and telephone numbers within their organisation.  I receive the guests name and fill in the Free To Book form and it is emailed back to the walking company. The printed booking forms and emails to the walking companies are held for one year and are then shredded and appropriately disposed.

All of these organizations have their own privacy policy’s to comply with the new General Data Protection Regulations.

We will keep printed booking forms for one year and sensitive information safely in a locked filing cabinet complying with GDPR. Walking companies facilitate all bookings. No personal identifiable information is retained by Manorbier Accommodation.  All emails will be deleted after 12 months.

Social Media

I will not publish any photographs via any social media platform or use on my website will be used unless I have written or have had permission from the guest via email. No identifying names or any private data such as email, address and telephone numbers relating the the guest will be released.

The social media platforms I use are Manorbier Accommodation Facebook Page, Instagram and Twitter.

If reviews are used via Trip Adviser or my guest book, social media or on my website there will be no full names, addresses,email or telephone numbers used by myself to indentify the personnel data of the guests.

Cookies

A cookie consists of information sent by a web server to a web browser and stored by the browser. The information is then sent back to the server each time the browser requests a page from the server. This enables the web server to identify and track the web browser.

I may use both “session” cookies and “persistent” cookies on the website.  We will use the session cookies to: keep track of you whilst you navigate the website.  We will use the persistent cookies to: enable our website to recognise you when you visit.

Session cookies will be deleted from your computer when you close your browser.  Persistent cookies will remain stored on your computer until deleted, or until they reach a specified expiry date.

I use Google Analytics to analyse the use of this website.  Google Analytics generates statistical and other information about website use by means of cookies, which are stored on users’ computers.  The information generated relating to our website is used to create reports about the use of the website.
